TriLumen Systems (“we,” “our,” or “us”) is committed to protecting your privacy. This Privacy Policy explains how we collect, use, and share information when you use our mobile applications, PermitLogic AI and TotalCalc Pro, and our website (collectively, the “Services”).
Information We Collect
We collect information you provide directly to us, including:
- Account information such as your name and email address when you create an account
- Project information including project descriptions, locations, sketches, photos, links you share, and responses to questions (PermitLogic AI)
- Permit denial or correction letters you share for denial recovery, as a photo or as pasted text (PermitLogic AI)
- Calculator inputs and saved results (TotalCalc Pro)
- Payment information: for in-app purchases in the Sully app, the app store processes your payment and RevenueCat, our in-app purchase provider, records your plan and subscription status. Stripe processes PermitLogic subscriptions and the card payments contractors take from their clients. We do not store your card or payment details
- Communications with Sully and Solve, our AI assistants, which are processed to generate responses
- Waitlist sign-ups on our website: your email address and any project details you choose to include, collected through our form provider, Formspree
We also collect information automatically when you use our Services:
- Usage data such as features used and time spent in the app
- Device information such as device type, operating system, and app version
- Log data including IP address, access times, and pages viewed
How We Use Your Information
We use the information we collect to:
- Provide, maintain, and improve our Services
- Process your requests and generate AI responses through Sully and Solve, including permit reports, materials lists and filing packets
- Send you technical notices and support messages, and, if you joined the waitlist, one email when PermitLogic AI is available
- Monitor and analyze usage patterns to improve our Services
- Detect and prevent fraudulent or unauthorized activity
Local Data Storage
TotalCalc Pro stores your saved calculations and Solve conversation history locally on your device using AsyncStorage. This data does not leave your device unless you explicitly share it. Clearing the app's data or uninstalling the app will permanently delete this locally stored information.
AI Processing
Our Services use Claude, an AI assistant developed by Anthropic, to power Sully (PermitLogic AI) and Solve (TotalCalc Pro). Your conversations with these assistants are sent to Anthropic's API for processing. Anthropic's privacy policy governs their use of this data. We do not use your conversation data to train AI models.
When you use denial recovery, the photo or text of the denial letter you submit is sent to our AI model provider (Anthropic) so Sully can read it and explain it. A photo is used to transcribe the letter's text; the text is then saved with your project so you can check and edit it, and is deleted with your project or account. Sketches and other photos you add to a project are processed the same way when Sully uses them.
PermitLogic AI also uses Tavily's search API to find and read your town's, county's and state's published rules. Location and project type information may be sent to Tavily to perform these searches.
How We Share Your Information
We do not sell your personal information. We share your information only in the following circumstances:
- With service providers who assist us in operating our Services, including Anthropic (AI processing), Tavily (rule search), Supabase (database), RevenueCat (in-app purchases in the Sully app), Stripe (PermitLogic subscriptions and client card payments), and Formspree (website waitlist)
- If we add third-party referral partners in the future, with a partner only with your explicit consent at the time you request it (see “Referral Partners” below)
- When you choose to email a filing packet from the app, with the recipient you choose
- If required by law or to protect the rights, property, or safety of TriLumen Systems, our users, or others
- In connection with a merger, acquisition, or sale of assets, with appropriate notice to users
PermitLogic Business Accounts and Connected Services
If you use PermitLogic for your business, we store the jobs, estimates, invoices, payments, client names and contact details, daily logs and files you and your team add. Your company's data is kept separate from other companies, and team roles limit what each person can see.
If you connect QuickBooks Online, PermitLogic sends invoices, payments and client names and contact details from PermitLogic to QuickBooks. PermitLogic does not read data from your QuickBooks account. We store the connection token needed to keep the connection working and never show it in the app. Disconnecting revokes the connection. You can ask us to delete your data at any time at [email protected].
Your clients can approve estimates and change orders from a link without an account, and can follow a job through the client portal or the Sully app if you invite them. We send reminder emails about approvals and payments on your behalf. Enterprise customers may create API keys and signed webhooks, and are responsible for the systems they connect.
Referral Partners
We have no referral partners today. If we add them in the future, the Hire a pro feature may help you connect with local professionals through those partners. When you ask to be connected with a pro, we will clearly show you what will be shared and ask for your explicit consent first. Only if you agree, we share the information needed to fulfill that request, which may include:
- Your project details (project type, description, scope, timing, and project location or ZIP code)
- Your contact information (name, email address, and phone number)
We never share your information with referral partners without your consent for that specific request, and declining does not affect your use of the rest of the app. Once shared, the partner's own privacy policy and terms govern how it uses your information.
Affiliate and Referral Fees
If we add pro-matching partners in the future, PermitLogic AI may earn a fee when you connect with a pro through them, and we'll disclose it right there. If we join retailer affiliate programs, we may also earn a commission when you buy through store links, and we will disclose that next to the links. These fees do not change the price you pay. See our affiliate disclosure.
Text Messages (SMS)
If you sign up for text messages from PermitLogic AI, on our website or in your account, we use your mobile number to send the messages you agreed to: account and payment notices, product updates and offers. Message frequency varies, up to 4 messages per month. Message and data rates may apply. Reply STOP to cancel at any time, or HELP for help. Mobile numbers and text-message consent are never sold, rented or shared with third parties or affiliates for their marketing. We share them only with the service providers that deliver our messages, such as our texting provider. Contractors who use PermitLogic AI to text their own customers send those messages as their own business, and are responsible for having their customers’ consent.
Consent to Be Contacted
When you submit a request to connect with a pro and give your consent, you agree that the referral partner and the professionals it matches you with may contact you about your project at the phone number and email address you provide. This contact may include calls and text messages, including messages sent with automated technology. Message and data rates may apply. Consent is not a condition of any purchase, and you can opt out at any time by replying STOP to texts or by contacting the partner or professional directly. For help, email us at [email protected]. This section applies only if referral partners are added.
Advertising
TotalCalc Pro's free tier displays ads served by Google AdMob. AdMob may use device identifiers and usage data to serve relevant ads. You can opt out of personalized advertising in your device settings. Upgrading to TotalCalc Pro removes all ads. PermitLogic AI does not show third-party ads.
Data Retention
We retain your information for as long as your account is active or as needed to provide our Services. You may delete your account and associated data at any time in the app (see Deleting Your Account below) or by contacting us at [email protected]. To leave the waitlist, use the unsubscribe link in our email or write to us.
Deleting Your Account
You can delete your account at any time inside the PermitLogic AI app: on the Home screen, tap Settings, then under Your data tap Delete account and data, and confirm with Delete everything. This works whether you signed in with Apple or Google. Deleting your account does not cancel a Sully Pro subscription; cancel it in the account settings of the store you subscribed through.
Deletion is immediate and permanent. We delete your account and all associated data from our servers, including your projects, conversations, reports, filing packets, any files you uploaded, and the usage records tied to your account. Data stored only on your device is cleared at the same time. Deleted data cannot be recovered. Copies in routine backups are overwritten in the normal backup cycle.
If you signed in with Apple, you can also stop using Apple sign-in with our app in your device's Settings under your Apple Account, Sign in with Apple. You can also request deletion by emailing [email protected], or see our Support page for step-by-step help.
Data Security
We implement appropriate technical and organizational measures to protect your information against unauthorized access, alteration, disclosure, or destruction. However, no method of transmission over the internet is 100% secure.
Children's Privacy
Our Services are not directed to children under the age of 13. We do not knowingly collect personal information from children under 13. If we learn that we have collected information from a child under 13, we will delete that information promptly.
Your Rights
Depending on your location, you may have the right to access, correct, or delete your personal information. To exercise these rights, contact us at [email protected].
Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of significant changes by posting a notice in the app or sending you an email. Your continued use of our Services after changes take effect constitutes your acceptance of the updated policy.
